Two-Factor Authentication for Cloud4Wi Admin Panel: Overview and Functionality
Our Admin Panel now requires two-factor authentication (2FA) as an extra layer of protection, in addition to passwords.
Requirements
To enable 2FA, you will need:
-
An Admin Panel manager account for organizations or locations.
-
An authenticator application (e.g., Google Authenticator, Microsoft Authenticator, Authy) installed on a mobile device.
Enabling 2FA
When an account manager logs in for the first time and does not have 2FA configured, a dedicated enablement page will be displayed. This page will contain a QR code, the configuration key, and backup codes.
To complete the enablement process:
-
Open the authenticator application on your mobile device.
-
Scan the QR code displayed on the Admin Panel or manually enter the provided alphanumeric code (configuration key).
-
Save the backup code in a secure and accessible location. This code is crucial and will allow you to access your account even if your mobile device is lost or malfunctions. It provides a one-time mechanism to regain access and re-establish 2FA from scratch.
-
Enter the six-digit numerical passcode generated by the authenticator application into the designated field on the Admin Panel.
-
Verify that two-factor authentication has been successfully enabled for the account.
How 2FA Login Works
Once 2FA is enabled for your account:
-
Enter your username and password for the Admin Panel.
-
A verification code will be requested.
-
Open the authenticator application on your mobile device to obtain the current six-digit code.
-
Enter the six-digit verification code into the designated field on the Admin Panel.
-
(Optional) You can select the "Trust this device for 30 days" option to avoid entering the code on subsequent logins from the same browser (refer to the "Trust this device for 30 days" section for more details).
-
If the code is correct, authentication will be complete, and you will be granted access to the Admin Panel.
Once the code is set, the manager no longer has the option to disable 2FA for security reasons.
Backup Code
The backup code is critical for account recovery. If you lose access to your device with the authenticator application (e.g., lost device, non-functional app), you can use the pre-generated code to access your account. Using the backup code will disable 2FA for your Cloud4Wi account, requiring you to re-enable it from scratch by following the initial enablement steps. This ensures that you can always regain access and then re-secure your account.
"Trust this device for 30 days"
The "Trust this device for 30 days" option allows you to avoid entering the 2FA verification code every time you log in. By selecting this option, the system will remember your device for 30 days, reducing the frequency of code requests.
However, this option may not work if you are logging in from a different browser or if your browser cookies have been recently cleared. In such cases, you will be prompted for the verification code again.
Login Issues
In cases where the code is set but you are unable to retrieve the code or token (e.g., lost device, non-functional app, lost backup code), please open a ticket with our Support Team for assistance.
